Job Summary:
Under the supervision and direction of the Director of the Office of Graduate Admission in the College of Arts and Sciences, the Assistant Director provides oversight and management in recruitment and enrollment of the College's graduate students.

Full Job Description:

Marketing, Communications and Recruitment
  • Supervise the Student Assistants in front-office activities - including customer service training, emails, phone and in-person questions and concerns from graduate programs, applicants and prospective students
  • Oversee the recruitment and counseling of prospective students on programs, requirements, policies and application process
  • Manage annual recruiting and yield events on-campus; events include Open House and yield events
  • Oversee the mailing of information packets and admission packets, with the assistance of the Program Assistant and Student Assistants
  • Implement and maintain the prospect database software, application software and application review software systems
  • Utilize data service and market analysis tools to plan recruitment and yield strategies
  • Develop and review marketing strategies for digital advertising, social media, paid platforms, university web content and other marketing venues
  • Manage off-campus recruiting events including, but not limited to, information sessions, domestic and international graduate fairs, professional organization events and information sessions at local universities and colleges
  • Oversee partnerships with graduate program directors and other faculty and other graduate admission staff as well as other key internal constituents
  • Build partnerships and prospect pipelines with universities and colleges for USF graduate programs
  • Design, execute and oversee online chat tool - Unibuddy. Work with programs to identify current ambassadors.
  • Assist with training related to new admissions staff and continues on-going training and professional development for all the admissions team. Develops training materials, documentation, support, and programs to ensure best practices and impact
  • Ensure the development of best practices not only related to the major function area but also to all admissions related functions
  • Communicate with students, faculty, staff, and alumni to recruit qualified students to USF College of Arts & Sciences Graduate School
  • Contributes to the yearly planning and evaluation of recruitment and admission programs
  • Assumes an active and collaborative role as part of a cohesive communications, marketing, and recruitment team
  • Work closely with prospective students to ensure high rates of conversion from the point of inquiry to application, and high yield rates from the point of application to acceptance and matriculation
  • Advise on policies, procedures and technical details, including academic program requirements, prerequisite requirements, application procedures and financial aid
  • Ensures support of the university's graduate and professional enrollment and revenue goals


Application/Admission Processing
  • Oversee the systems for applicants and admitted students for the Office of Graduate Admission - Slate and Banner - and any new systems/platforms adopted in the future
  • Manage and update admission materials that are critical to application to student conversion
  • Develop and manage a resource guide for international transcript review for this office and the individual graduate program offices
  • Manage I-20 issuance for the College's newly admitted graduate students
  • Verify international Certifications of Finance for completeness and to ensure they meet the minimum requirements
  • Verify international transcripts, degree conferral and international institution recognition for applicants
  • Ensure that all online processes, instructions and communications are updated and accurate
  • Ensure timely review of applications by graduate programs
  • Track and report tuition deposit payments


Supervision
  • Supervise the student assistants in all aspects of their work - application processing, data entry, prospective student communications and mailings, admission packet mailings, responding to prospective student inquiries, office administrative tasks, and other responsibilities as assigned
  • Manage and schedule student assistants for admission and application processing, and prospective student events and communications


Minimum Requirements
  • A strong problem-identifying and problem-solving approach to the responsibilities of the Office of Graduate Admission. The ability to visualize the bigger picture and follow-up that is needed in any project or responsibility of this office
  • Bachelor's degree with three or more years in admissions, student affairs, or related higher education experience required; Master's Degree preferred
  • Proven ability to successfully plan, prioritize and work with minimal supervision and to follow through and meet deadlines
  • Excellent judgment and respect for confidentiality; strong oral and written communication skills; and a warm, professional and responsive demeanor
  • Brings a positive and enthusiastic presence to a fast-paced but collegial work environment, and has a strong commitment and responsiveness to the College's prospects, applicants and admitted students
  • Excellent data entry skills, proficiency in Word, Excel, InDesign, HTML, and other applications, as needed
  • Demonstrated ability to foster equity and inclusion, and ability to practice cultural humility when engaging with diverse community members
  • Understanding and commitment to USF's mission, vision, and values


Work Environment
  • The position communicates in a helpful and effective manner with faculty and staff in the university, regarding communications/marketing, recruitment, and applicant and accepted student processes and needs
  • The position requires someone who can work with minimal supervision, and at the same time communicates frequently and directly with the Director concerning communication and marketing strategies, customer relations (with Graduate Directors, prospects, applicants, accepted students), and recruitment

Salary Range :
$78,000-88,000 annually, commensurate with experience
