About the Position:
The Pollak Library empowers and nurtures our academic community in the pursuit, discovery, and creation of knowledge. We strive to advance success of the academic community by providing access to an evolving collection, developing information literacy skills, creating innovative spaces, encouraging intellectual curiosity, and welcoming diverse perspectives. We are seeking an exceptional individual to join our team as the Assistant to the Dean and Human Resource Coordinator (Administrative Analyst/Specialist - Exempt I). Under general direction, the Assistant to the Dean and Human Resource Coordinator supports the Dean of the Library. Manages workflow and performs and oversees an array of administrative operational and HR functions. Supports the mission and goals of the Library and the University.

Plans, organizes, manages and prioritizes the calendar, schedule, travel and itinerary preparation of the Dean and composes general communications. Independently performs varied and specialized administrative, analytical, and coordination responsibilities to support the Dean and the organizational operations of the library to meet programmatic and administrative goals. Independently performs research and participates in the planning, development, revision, implementation, and evaluation of policies and procedures and approaches to projects and priorities. Responsible for overseeing the day-to-day administrative operational activities of the office. Advises management on the impact of recommended or implemented policies and procedures from an operational and strategic perspective. Coordinates social, academic and fund-raising events in the library. Serves as the primary Human Resources coordinator for all staff and student assistant recruitments and is responsible for facilitating staff and student personnel actions and contracts. Works with the Library Department Chair and Associate Deans to facilitate faculty recruitments and faculty personnel actions/contracts. Monitors and ensures personnel actions are within CSU and Collective Bargaining Agreement procedures and policies. Works in collaboration with the Associate Deans and Human Resources, Diversity and Inclusion to obtain updates on payroll and human resources related regulations, policies and guidelines. Serves as a resource person for processing of paperwork. Drafts letters and creates spreadsheets. Serves as the Library time and attendance coordinator and monitors attendance files for Library faculty and staff. Compiles statistical information about the Library's collections and operations for multiple quarterly and annual campus and system-wide reports. Oversees the clerical duties of Library Administration student assistants. Serves as the Departmental IT Coordinator. Other duties as assigned.


Essential Qualifications:
Bachelors degree from an accredited four-year college or university and/or the equivalent training and administrative work experience involving the study, analysis, evaluation, development or improvement of administrative policies, procedures, practices or programs plus two years of related experience.

Working knowledge of and the ability to apply standard theories, principles, practices, and techniques applicable to the program or administrative specialty to develop conclusions and make recommendations. Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program or administrative specialty. Working knowledge of operational and fiscal analysis and techniques. Ability to take initiative and plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved. Skilled in research, development, and evaluation of policies and programs. Ability to collect, evaluate, and interpret data to develop sound conclusions and make appropriate recommendations. Expertise investigating and analyzing problems with broad administrative impact and implications. Ability to anticipate problems and address them proactively. Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form. Ability to train others on new skills and procedures and provide lead work direction.

Preferred Qualifications:
Previous work experience with human resources issues in an academic work environment. Experience with time and attendance reporting and maintenance. Demonstrated knowledge of and experience with data analysis, research and reporting methodologies. Experience directing the work of others. Demonstrated competence in effectively presenting complex information in written and graphical form. Demonstrated competence in understanding, interpreting, developing and communicating procedures, policies, information, ideas, and instructions. Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
